Prepare the message foundation

Write a one-sentence explanation of what the business does, who it helps and the useful difference it makes. Add a short positioning note: what should a suitable customer understand about you that they may not get from competitors?

Document preferred language, terms to avoid and the tone the brand should hold under pressure. Gather accurate service names, locations, operating details and the single most important action for each audience.

Build content by page purpose

For each page, state the visitor question it answers and the action it supports. A homepage orients; a service page explains fit and value; an about page builds confidence; a contact page removes final friction.

Draft headlines, introductory copy and proof before supporting detail. Use descriptive section headings. If two pages serve the same question, merge them or sharpen their roles rather than publishing near-duplicates.

Collect proof and practical assets

Gather approved testimonials, credentials, process explanations, results and case-study material. Record sources and permissions. Proof is strongest when it is specific, relevant and placed close to the claim it supports.

Create an asset list with owners and deadlines: team portraits, workplace photography, diagrams, video, downloadable documents, logos and icons. Include alternative text, captions and current file versions.

Complete the overlooked details

Write page titles, descriptions, form labels, error messages, confirmation copy, empty states and email responses. Confirm legal names, privacy wording, copyright, addresses and accessibility statements where relevant.

Before launch, read every page aloud, test every link and ask a subject-matter expert to verify claims. Then assign an owner and review date. Content becomes an asset only when someone is responsible for keeping it true.
